Terms and Conditions
By purchasing a ticket you agree to the following terms and conditions:
- Refunds: all tickets are non-refundable, except in the event of cancellation by the organiser.
- Valid tickets: tickets are only valid when purchased from the organiser.
- Under 12s: all children under 12 must hold a ticket and must be accompanied by a person over the age of 18 holding a full price ticket.
- Children: children remain the responsibility of their parent or guardian at all times.
- Admission: the organisers reserve the right to refuse admission.
- Wristbands: please ensure that your wristband is fitted to your wrist securely, in such a way that it cannot be removed without breaking the closure. Lost or missing wristbands will not be replaced. Wristbands that have been tampered with or removed from the wrist are invalid and will not be replaced.
- Security: ticket holders consent to being searched at the request of SIA badged security staff.
- Recording: ticket holders consent to being filmed or sound recorded for the purposes of the promotion of the event on television, radio, video, CD, DVD or online.
- Copyright: no unauthorised recording or copying of copyright material is allowed.
- Parking: NO PARKING AT THE FESTIVAL SITE EXCEPT BY PRIOR ARRANGEMENT FOR DISABLED BLUE BADGE HOLDERS, CAR PASS HOLDERS, and campers.
- Line-up: the artist line up may be subject to change by the organiser if circumstances dictate.
- Damage, loss and theft: the organisers take no responsibility for loss or damage to goods or property whilst on site.
- Waste: please use the toilet and waste disposal facilities provided.
- Glass: NO GLASS bottles or containers allowed on site.
- Alcohol: NO alcoholic drink will be permitted to be taken into or out of the festival arena.
- Under age drinking: alcohol will removed from any person unable to prove that they are age 18 or over, and will not be returned to them.
- Bad behaviour: Drunken or disorderly behaviour will result in expulsion from the site.
- Compliance: ticket holders agree to act in accordance with all instructions from stewards and security staff.
- Camping: camping by prior ticket purchase ONLY and in designated camping areas. No music after 11.30 pm. Areas will be set aside for family camping and youth camping. Campers aged between 13 and 17 must be accompanied by an adult aged 18 or over in the camping areas unless in the Youth Camping area.
- Fires: no open fires allowed on site.
- Vehicles: no vehicle movement during the event except by special arrangement and with the permission of the Event Safety Officer and then only under the guidance of the stewards.
- Dogs: NO DOGS allowed on site.
- Touting: anyone found distributing promotional material, touting or trading without the relevant permission in the form of an issued license may be removed from the festival site.
Terms and Conditions for Traders and Caterers
- Setting-up: IVYLIVE organisers will be on site from 9am on Friday 10th September. You may arrive at any time between 9am and 12 noon on Friday 10th September to set up.
- Arrival: please take care when driving to your pitch, especially if there has been rain, as some parts of the site can become waterlogged. Please take direction from the IVYLIVE stewards.
- Vehicles: no vehicle movement will be allowed on site after 2pm on Friday 10th September. There is provision at each pitch for ONE vehicle to remain on site. Please note that vehicle movement may only take place with the permission of the Event Safety Officer or after all attendees have left the site (approx 12 noon on Sunday 12th September).
- Trading: may take place between:
- 5pm - 11pm on Friday 10th September,
- 6am - 11pm on Saturday 11th September,
- 6am - 12 noon on Sunday 12th September.
- Admission: to the Festival is by ticket only. You must purchase additional tickets for any helpers wishing to attend. 2 tickets are supplied per 3m pitch booked.
- Vacating: you must vacate your pitch by 2pm on Sunday 12th September.
- Regulations: all temporary structures, e.g. tents and gazebos, must meet current regulations for fire retardance, and display the appropriate manufacturer’s labels.
- Waste: each pitch is supplied with a waste bin and liner. You must ensure that your pitch is tidy before you leave, and throughout the duration of the Festival. A returnable cash deposit of £30 (retail) £100 (catering) per pitch will be collected upon your arrival, and a receipt issued. Your deposit will be returned as you leave upon satisfactory handover of your pitch.
- Emergency access: no part of your display or pitch may obstruct any emergency vehicle route or access.
- Loss: the organisers are not liable for any loss or damage to goods.
- Bad weather: the event will continue in the event of bad weather (unless cancelled by the organisers for safety reasons). The organisers cannot be held liable for poor attendance due to the weather.
- Compliance: whilst on site, you must comply with all instructions from Staff wearing appropriate identification – that is, organisers, security staff and stewards.
- In case of emergency: in the event of an emergency evacuation of the park, a member of your party must inform security staff of the safe exit of ALL your party from Filham Park.
- Cooking & heating equipment: you may not use cooking equipment or heaters unless you have booked a catering stand and produced the relevant Health and Safety certificates and insurance documents.
- Flammable substances: large quantities of flammable liquid or gas must NOT be stored in or around pitches (please bring no more than you would reasonably expect to use during the Festival).
- Weapons & fireworks: NO sale of guns, ammunition, BB guns or any other weapon, or fireworks, is permitted.
- Tattooing & piercing: NO tattooing or skin piercing is permitted to be carried out at the event.
- Glass: NO glass is allowed on site.
- Smoking: NO smoking in any covered area.
- Dogs: NO dogs are allowed on site.
- Terms & conditions: it is the responsibility of the stallholder to ensure that all helpers on that stall are aware of these terms and conditions.
- Public liability: pitches will only be allocated on receipt of a copy of your Public Liability insurance certificate, a completed booking form and payment in full.
